Privacy Policy

1. Our commitment
Better Practice Consulting Inc. processes personal data in accordance with the Data Privacy Act of 2012 (Republic Act No. 10173), its implementing rules, and the issuances of the National Privacy Commission. Handling doctors' financial information is the core of our work, and we treat it accordingly.
2. What we collect
- Identity and contact details: name, PRC license number, TIN, address, email, mobile number.
- Practice information: clinics and institutions where you practice, registration documents, PhilHealth and association records you ask us to process.
- Financial records: receipts, income records, certificates of withholding, books of accounts, and the filings we prepare for you.
- Website and app data: account activity, device information, and analytics that help us improve the product.
3. Why we process it
We process personal data to deliver the services you engage us for, including preparing and filing your returns with the BIR and processing paperwork with the PRC, PhilHealth, and professional associations; to operate your account and the app; to respond to inquiries on our helpline and booking channels; and to comply with our own legal obligations. We do not sell personal data, and we do not use your financial records for marketing.
4. Sharing and processors
We share personal data only as needed to deliver the services you engage us for. We share it with:
- Government agencies (such as the BIR, PRC, and PhilHealth) as part of the filings and paperwork you engage us to make.
- Service providers that process data on our behalf under written data-processing agreements. These cover client and enquiry records, appointment scheduling, SMS and email notifications, website and application hosting and storage, and website analytics. Where a booking step hands you off to a provider's own platform, that provider's own privacy notice applies to what happens there, alongside our agreement with them.
- Supabase, our database provider, which stores the enquiry and review records described in section 6 on our behalf under its data-processing terms.
Some of these providers may store or process data on servers outside the Philippines. Where that happens, we use providers that commit to protecting your data to standards consistent with the Data Privacy Act. We do not sell personal data. Aggregated, de-identified information that cannot identify any doctor may be used to improve our services.
5. Retention and security
We keep different records for different periods:
- Tax and accounting records (including the returns we file, books of accounts, and supporting documents) are retained for at least ten years, in line with the record-keeping periods required under the National Internal Revenue Code and BIR regulations.
- Account and identity records are kept for as long as you are a subscriber and for a reasonable period afterward, after which they are securely disposed of.
When you cancel, we return your original documents to you and retain copies of the records we prepared or filed for you in our secure database, as required by law and for our own compliance.
We protect data with access controls, encryption in transit, and staff confidentiality obligations. If a personal data breach occurs that is likely to put your rights at risk, we will notify the National Privacy Commission and the affected data subjects within seventy-two hours of becoming aware of it, as required by the Commission.
6. Leads, enquiries, and reviews
When you submit the claim form, the contact form, a booking, or a message to our helpline, we collect the details you give us (such as your name, mobile number, and email) so a medical accountant can reach you about the service you asked about. We store these submissions in our secure database, provided by Supabase, and in the client-management system our accountants work in. We process these on the basis of your request and our legitimate interest in responding to enquiries. Submitting an enquiry does not make you a client and puts you under no obligation. If you do not go on to engage us, we keep your enquiry details only as long as needed to follow up, and no longer than twelve months from your last contact, after which we delete or anonymise them.
When you leave us a review, we collect your name, email address, field of practice, star rating, and the review you write, and we hold them in a separate reviews record in the same Supabase database. We use them to confirm the review came from a doctor we have worked with, to reply to you if something needs putting right, and to understand how we are doing. We process these on the basis of your request and our legitimate interest in improving the service. Every review is private by default. We publish your name, field of practice, rating, and review on this website only where you have given us explicit permission to publish it, and never otherwise. Your email address is never published. You can withdraw that permission at any time by emailing support@betterpractice.ph, and we will take the review off the site.
7. Marketing communications
With your consent, given when you submit your details or subscribe, we may contact you by SMS, call, or email with updates, tax reminders, guides, and offers relevant to your practice. We tell you what you are signing up for at the point you give your details. You can opt out at any time by replying STOP to an SMS, using the unsubscribe link in any email, or emailing support@betterpractice.ph; we will then stop marketing messages while still sending the essential service messages your account requires. We do not sell your personal data, and we do not use your financial records for marketing.
8. Cookies and analytics
Our website uses cookies and similar technologies. Strictly necessary cookies keep the site working and cannot be switched off. With your consent we also use analytics cookies (Google Analytics 4) to understand how visitors use the site so we can improve it, count visits, see which guides are read, and check that our forms work. We ask for consent to non-essential cookies through a banner on your first visit, and you can change your choice at any time. Analytics data is handled by our providers under agreements that limit their use of it. We do not use advertising cookies that track you across other websites.
Until you choose Accept, this site sets no cookies at all. The analytics cookies below are created only after you consent, and declining leaves them uncreated rather than merely unused. The cookies and similar technologies we use are:

We also load our web fonts from Google. That sets no cookies, but it does mean Google receives your IP address when a page loads.
9. Your rights
Under the Data Privacy Act you have the right to be informed, to access, to correct, to object, to erasure or blocking where applicable, to data portability, and to damages. To exercise any of these, contact our Data Protection Officer, Jerra Joy Opeña, at support@betterpractice.ph. You may also lodge a complaint with the National Privacy Commission.
